Overview

We are seeking an organized, proactive, and customer-focused Administrative Assistant to support members of our construction operations team. This position plays a critical role in ensuring day-to-day administrative functions run smoothly while assisting project teams, department leaders, and internal stakeholders across the organization.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate conference rooms and virtual meeting logistics
  • Prepare presentations, reports, correspondence, and meeting materials
  • Coordinate travel arrangements and itineraries as needed
  • Organize department meetings, team events, quarterly reviews, and strategic planning sessions
  • Manage filing systems, electronic records and document retention practices
  • Assist with reception and phone coverage as needed
  • Coordinate office supplies, equipment, and vendor needs
  • Assist with timekeeping, invoicing support, data entry, and administrative reporting
  • Help identify opportunities to improve workflows, efficiencies, and team communication
  • All other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Minimum of 5 years of administrative, office management, or related experience
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and commitment to accuracy
  • Ability to maintain confidentiality and exercise sound judgment
